Role Overview

 

The AP Specialist will enter invoices, resolve discrepancies, and perform disbursements to ensure accurate and on-time payments to suppliers. 

 

Responsibilities:
•    Enter supplier invoices to Kodak’s ERP system. In cases where supplier invoices are passed to Kodak through an electronic connection, oversee to ensure no transmission errors. 
Enter complex invoicing transactions, including consignment invoices, pre-payments, and deposits.
•    Resolve invoice discrepancies. Ensure that unapproved or blocked invoices are resolved before the due date. Monitor and coordinate resolution of any GR/IR imbalances. Ensure that debit balances are resolved in a timely manner. 
•    Enter payment vouchers (i.e. payments that are not against a PO).  Verify the authority of approvers.   
•    Prepare and issue payments.  Understand bank processes and deadlines. Monitor payment errors, and work with the Buyer to correct ACH bank account information if needed. 
•    Respond to inquiries regarding payment status. 
•    Support projects. For example, support purchasing systems implementations, and A/P process improvement projects.  
•    Compliance: Ensure compliance with Kodak Procurement Procedures. (e.g., Pay Terms, Pre-payments, Recognition of Liabilities, Treasury review)  Ensure invoices are stored to meet Kodak’s data retention requirements.  

 

Skills:

  • Knowledge of Accounts Payable processes, and experience with invoice entry
  • SAP knowledge (or experience with a different ERP system)
  • Familiar with AP Automation tools and systems.
  • Communication Skills: it is critical to effectively communicate with suppliers and internal Kodak requestors.
  • Organization, accuracy, and very strong attention to detail. 
  • Problem analysis and problem-solving skills
